Custom software or off-the-shelf: how to decide

Most businesses should start with off-the-shelf software. Products like accounting packages, CRMs and booking tools are built for thousands of customers, so they’re tested, supported and usually cheap to start with. Custom software makes sense in a narrower set of situations, and it’s worth being honest about which one you’re in before spending money.

When off-the-shelf is the right answer

If your process looks like most businesses’ process, a product built for that process will probably serve you well. Invoicing, payroll, basic appointment booking, email marketing and online stores with ordinary products are all well covered by existing tools.

Off-the-shelf also wins when you need something running next week, when the budget is small, or when nobody on your team has time to be involved in building something. A good product configured properly beats a rushed custom build.

When custom software starts to make sense

The signs are usually practical rather than technical:

  • Your team works around the software every day, with side spreadsheets, copy and paste or manual workarounds.
  • You pay for several tools that each do part of the job and none of them share data.
  • The process that makes your business different is the one no product handles well.
  • Per-user subscription costs have grown to the point where owning the system would cost less over a few years.
  • You’ve tried two or three products already and keep running into the same limits.

There’s often a middle option

The choice isn’t always all or nothing. Many businesses keep their off-the-shelf tools and add a small piece of custom work: an integration that moves data between two systems, an automation that removes a daily chore, or a simple portal on top of an existing database. That can solve most of the problem for a fraction of the cost of replacing everything.

Questions that help you decide

Before choosing, it helps to write down answers to a few questions:

  • Which tasks take the most time each week, and who does them?
  • Where does the same information get typed in more than once?
  • What have you already tried, and where exactly did it fall short?
  • If this worked perfectly, what would your team stop doing?

If the answers point to one or two specific problems, look for a product or a small integration first. If they point to the core of how your business works, custom software is worth a closer look.
