Online booking for a service business: buy or build?

For appointment-based businesses such as clinics, salons, studios and trades, online booking saves a lot of phone time and cuts down on no-shows. The question is whether to subscribe to an existing booking product or to have a system built that fits how you work.

When a subscription booking tool is enough

If you have one location, a handful of services with fixed lengths and staff who can all do most of them, a subscription tool will probably work well. Setup is quick, the monthly cost is predictable and the product is maintained for you.

When a custom booking system makes sense

Off-the-shelf tools start to strain when the rules get specific to your business:

  • Some staff can only do certain services, and the system has to know who can do what.
  • Services need setup or clean-up time between appointments, or some steps leave a staff member free while the client waits.
  • You have several locations, rooms or pieces of equipment that also need booking.
  • Bookings need to flow into your own customer records, payments or reporting without retyping.
  • Per-staff subscription fees have grown large enough that owning the system would cost less.

What a good booking system should do either way

Whichever route you take, a few things matter: customers should be able to book in a few taps on a phone, confirmations and reminders should go out automatically, staff should see their own day clearly, and someone at the business should be able to see and manage every booking in one place. Cancelling should be easy for the customer while still protecting your schedule.
